Coast Rifle and Pistol Club

There were 6 members present for the January monthly meeting including the following Officers, Board members and chairmen:

The meeting was called to order and the following items were discussed:

 

1.       A membership report was giving as 890.  Chester updated his report for meeting minutes to 924 member records in the data base. 

2.       The treasurer, Andre Champagne, was not present at this meeting. Chester Abbott gave a treasury report as $102,000 plus the contents of the safe. Andre was contacted to provide banking details since the last monthly meeting. These meeting minutes will be modified to reflect checks written for December and January when treasure returns off his business trip.

3.       Chester reminded everyone that the lease is due this year. The lease is reappraised every five years. The property has been appraised and the lease amount is expected to go up – the amount is not yet known but it will be greater than $27,000.

4.       The next project for this club will be reconstructing the berms on the pistol range. As previously discussed, the new berms will be 25-30 feet high and 8 feet wide on the top. This will provide the necessary safety features to prevent any shots from leaving the designated area. This will also provide future access for equipment to install traps on top of each of the berms.

5.       Road work and drainage will also be addressed for the pistol range. Culverts will be installed to drain water to the south end of the property.

6.       A club member, Mr. Herb Hill, asked “how many bank accounts we now had for the club”. He was told that at this time there is only one account.  (This statement was in error, the club generated a checking account to support NSSA sanction skeet shoots. This account is limited to a surplus of $200.00 maximum.  The account is monitored by the board after each skeet shoot. CPRC treasurer was holding 4H donations in the club account. It was decided by the board that these funds should not be held by the club. Therefore the club 4H representatives opened a checking account and the 4H funds were transferred out of the club account. Any donations by club members to 4H will in the future be turned over to the 4H representatives to deposit in their account).

7.       A member asked about the $800 missing from the previous treasurer. He was told that the money was gone and would not be recovered. The previous treasurer has been banned from the club.

8.       Ken Hablitzel stated that he has been asked several times where shotguns could be sited in at 100 yards. A discussion was held, a motion was made to use the 100 – 300 yard rifle range for this purpose with shooters using slugs only. A vote was taken and the motion was unanimously passed. Another motion was made to have a new sign made reflecting this decision which will be posted at this range. A vote was taken and unanimously approved to purchase this sign. Joe Newman will have this sign made.

9.       As previously decided by the board, the club accounts will be audited this year. Six different people have been approached to provide this service. The fees for this audit range from $600 to $3000. Fees are higher during tax season. The discussion of this audit was tabled until the next club meeting.

10.   A member, Mr. Charlie Parker, suggested that the annual meeting be held at an alternate location to accommodate more people comfortably. If club members want to pay for an alternate location, it can be suggested and voted on at the next annual meeting. This year, the new skeet pavilion will accommodate more people and a PA system will be available.

11.   A connex box is going to be relocated on the club facility. This will need to be scheduled and coordination will be required. The person moving the box has not been able to be scheduled as of yet. Coordination will include emptying the contents of the box and reloading it once it has been moved.

12.   Chester has again asked for input for a new 5 year plan by the end of this month. The input will then be complied and prioritized.

13.   A club member, Mr. Herb Hill, asked how much money had been spent on the new skeet and trap facilities. The amount was approximately $165,000 - $175,000 with $90,000 on the facilities and the remaining on the required earthwork.

14.   A club member, Mr. Herb Hill, asked about the recording and publishing of the treasury report. Income and expenditures have been reported in the October and November meeting minutes.

15.   A discussion was held concerning the cost of skeet rounds. In the past, the club made a profit of $0.50 per round which made approximately $10,000 per year for the club. The cost of clays has gone up but the club has not raised the cost per round. The profit per round is now approximately $0.18.

16.   A club member, Mr. Herb Hill, asked about the bylaws which are provided on the club website. The bylaws have been modified over the years but there is no way to tell what exactly has been changed.

17.   A member, Mr. Herb Hill, has previously requested information from the officers and board concerning the financial documents of the club. Mr. Hill does not feel that he has been provided the information he has requested. Club President, Chester Abbott, responded by explaining that all club officers and board members are volunteers and they have attempted to provide all documents requested to the best of their ability.  Mr. Abbott also explained that there are many laws connected to non-profit organizations that the Coast Rifle and Pistol Club Corporation probably do not comply with due to the current structure of how the club is managed.  Mr. Hill’s previous requests would require the club to hire a full time manager, secretary, and CPA to respond to such requests in a timely manner. How the club is managed is determined by the membership at the annual election.

18.   Members were reminded that 4-H practice will begin this Saturday. Starting at 9 am, the 22 rim fire range will be occupied by the 4-H participants.

19.   On February 27th, there will be a skeet shoot. Skeet shooters and guests are asked not to interfere with the safety briefing on this day.
